Your privacy is not a legal formality to us — it is a core design principle. BetterBuilder is built around your most personal thoughts, patterns, and growth. We treat that data with the same care and confidentiality you would expect from your most trusted advisor.
This Privacy Policy explains what personal information we collect, how we use it, how we protect it, and what rights you have over it. We have written it in plain language so you can actually understand it — not just check a box.
By using BetterBuilder (the “App”), my.betterbuilder.app (the “Platform”), or betterbuilder.app (the “Website”), you agree to the practices described in this Policy. If you do not agree, please do not use our services.

For users in the European Union (EU), the European Economic Area (EEA), or the United Kingdom (UK), Better Builder LLC acts as the data controller for your personal information as defined under the General Data Protection Regulation (GDPR).
We collect information in three ways: information you give us directly, information generated through your use of the App, and information collected automatically by our systems.
Account Registration: Your name, email address, and password when you create an account. Profile Information: Optional details such as your preferred name, language preference, time zone, and profile photo. Coaching Conversations: The messages, reflections, and responses you share with Coach Quinn, our AI coaching assistant. Evidence Entries: Daily observations, behavioral patterns, and personal insights you record in the App. Journal Content: AI-assisted journal entries you review and approve. Wisdom Cards: Content you create or approve for sharing, including captions and export preferences. Subscription & Billing: Payment information processed securely through our third-party payment processor (Stripe). We do not store your full card details on our servers. Support Communications: Messages and feedback you send to our support team.
Behavioral Pattern Data: Patterns identified through your conversations and evidence entries that inform our coaching methodology. AI Personality Analysis: Using our evidence-based methodology, BetterBuilder’s AI systems may infer insights about your communication style, values, and personal growth areas. This analysis is used solely to personalize your coaching experience. See Section 5 for details. Progress & Engagement Data: Records of conversations, journal completions, wisdom cards created, streaks, and achievements. Content Performance Data: If you share wisdom cards publicly, engagement data such as views and interactions.
Device & Technical Information: Device type, operating system, browser type and version, unique device identifiers, and IP address. Usage Data: Pages and features accessed, time spent in the App, navigation patterns, session duration, and interaction logs. Log Data: Server logs capturing access times, errors, and system events for security and debugging purposes. Cookies and Similar Technologies: See Section 8 for our full Cookie Policy.
We use your information only for legitimate purposes directly related to providing and improving BetterBuilder. We do not sell your personal information. Ever.
Creating and managing your account. Delivering personalized coaching from Coach Quinn. Generating AI-assisted journal entries and wisdom cards. Processing your subscription and payments. Sending important account notifications (e.g., billing, security alerts). Providing customer support.
Adapting Coach Quinn’s communication style, questions, and insights to your unique patterns. Identifying your areas of strength and growth across life domains (work, relationships, wellness, creativity, and meaning). Generating morning prompts and micro-actions relevant to your current patterns. Building your personal pattern library and progress insights.
Analyzing aggregate, anonymized usage patterns to improve features. Conducting internal research on coaching effectiveness. Training and improving our AI models using anonymized, aggregated data (never your identifiable conversations without explicit consent). Testing new features and fixing bugs.
Complying with legal obligations. Enforcing our Terms & Conditions. Preventing fraud, abuse, and security threats. Maintaining audit logs and security records.
Sending marketing emails and product updates (you can opt out any time). Using your content in testimonials or case studies (we always ask first). Any new use not described above.
For users in the EU, EEA, or UK, we rely on the following legal bases under GDPR Article 6 to process your personal data: Contract Performance (Art. 6(1)(b)): Processing necessary to provide you with the BetterBuilder service under our Terms & Conditions. Legitimate Interests (Art. 6(1)(f)): Improving our product, preventing fraud, ensuring security, and conducting analytics — where these do not override your fundamental rights. Consent (Art. 6(1)(a)): Marketing communications, certain cookies, and any processing activity where we have asked for your agreement. Legal Obligation (Art. 6(1)(c)): Where we must process your data to comply with applicable law.
For sensitive data that may be inferred through your coaching interactions (such as health-related patterns, emotional wellbeing, or personal beliefs), we rely on your explicit consent under GDPR Article 9(2)(a). You provide this consent when you begin using the coaching features of the App.
BetterBuilder uses artificial intelligence in significant ways. We believe you have the right to understand how this works.
Coach Quinn is powered by large language model AI (currently OpenAI’s GPT-4o and GPT-4o-mini models). Your conversations are processed by these models to generate coaching responses, identify patterns, and create journal and card content.
BetterBuilder uses a proprietary evidence-based methodology to analyze patterns in your language, conversation style, and behavioral evidence. This analysis may infer insights about your communication preferences, core motivations, and personal growth areas to personalize your coaching experience. This analysis runs in the background. You are not told in real time what is being inferred, because we have found that invisible personalization creates more authentic coaching experiences than explicit personality tests. However, you always have the right to request a summary of what our system has inferred about you (see Section 9, Your Rights). Important: This analysis is not used to make any decisions that have legal or similarly significant effects on you. It is used solely to personalize your personal growth coaching experience.
Coach Quinn generates journal entries, wisdom cards, and morning prompts that are presented to you for your review and approval before being saved or shared. You retain full editorial control over all AI-generated content.
Under GDPR Article 22, you have the right not to be subject to decisions based solely on automated processing that produce legal or similarly significant effects. BetterBuilder's AI does not make such decisions about you. Under the CCPA's updated Automated Decision-Making Technology (ADMT) regulations (effective January 1, 2026), California residents may request information about how automated systems process their personal data and, in applicable contexts, opt out. You can exercise this right by contacting support@betterbuilder.app.
We do not use your identifiable personal conversations or content to train AI models without your explicit, separate consent. Aggregate, anonymized behavioral patterns may be used internally to improve coaching effectiveness.
We do not sell, rent, or trade your personal information to third parties. We share your information only in the limited circumstances described below.
We share your data with trusted third-party service providers who help us operate BetterBuilder. These providers are contractually required to process your data only on our instructions and in compliance with applicable privacy laws: OpenAI: Powers Coach Quinn’s AI responses. Your messages are processed per OpenAI’s API data usage policies. API data is not used by OpenAI to train models by default. Supabase: Our secure database and authentication provider. All data is encrypted at rest and in transit. Stripe: Secure payment processing. We never store your full payment card details. Vercel: Application hosting and deployment infrastructure. Email Service Provider: Transactional and marketing email delivery. Analytics: Aggregated, anonymized product analytics to understand usage patterns.
If you choose to share Wisdom Cards publicly (through the App’s sharing features or to social media), that content becomes publicly accessible. We recommend reviewing any content before sharing.
We may disclose your information if required by law, court order, government request, or to protect the rights, property, or safety of BetterBuilder, our users, or the public.
If Better Builder LLC is involved in a merger, acquisition, or sale of assets, your information may be transferred. We will provide notice before your personal data is transferred and becomes subject to a different privacy policy.
We retain your personal information only for as long as necessary to provide the service and fulfill the purposes described in this Policy. Active Account Data: Retained for the duration of your account. Conversation & Coaching Data: Retained for the duration of your account plus 90 days following account deletion, to allow for account recovery requests. Billing Records: Retained for 7 years to comply with tax and accounting legal obligations. Security & Audit Logs: Retained for 12 months. Anonymized Analytics Data: May be retained indefinitely in aggregate, non-identifiable form. Marketing Consent Records: Retained for 3 years from the date of last interaction.
When you delete your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it by law.
BetterBuilder uses cookies and similar technologies to operate the App, remember your preferences, and understand how users engage with our platform.
Strictly Necessary Cookies: Required for the App to function. These cannot be disabled (e.g., authentication session cookies). Functional Cookies: Remember your preferences such as language, time zone, and theme settings. Analytics Cookies: Help us understand aggregate usage patterns. These are anonymized and do not track you across other websites. Marketing Cookies: Used only with your consent to measure the effectiveness of our marketing campaigns.
You can manage your cookie preferences through our Cookie Consent banner or through your browser settings. Disabling certain cookies may affect the functionality of the App. For EU/UK users, we obtain your consent before placing non-essential cookies.
BetterBuilder honors the Global Privacy Control (GPC) signal. If your browser or device transmits a GPC signal, we will treat it as a valid opt-out of the sale or sharing of personal information, consistent with California, Colorado, Connecticut, and Oregon law.
Depending on where you live, you have a range of rights over your personal information. We take these rights seriously and will respond to all valid requests within the timeframes required by law.
Right to Access: Request a copy of the personal information we hold about you. Right to Correction: Request that we correct inaccurate or incomplete data. Right to Deletion: Request that we delete your personal data (subject to legal retention requirements). Right to Data Portability: Receive your data in a commonly used, machine-readable format. Right to Opt Out of Marketing: Unsubscribe from marketing emails at any time via the link in any email or by contacting us.
Right to Restrict Processing: Request that we pause processing your data while a dispute is resolved. Right to Object: Object to processing based on legitimate interests, including profiling. Right Not to Be Subject to Automated Decision-Making: You have the right not to be subject to solely automated decisions that produce significant legal effects. Right to Lodge a Complaint: You have the right to file a complaint with your local data protection authority (e.g., the ICO in the UK, or your national DPA in the EU).
Right to Know: Know the categories and specific pieces of personal information we have collected about you, and the categories of sources, purposes, and third parties involved. Right to Delete: Request deletion of your personal information (with certain exceptions). Right to Correct: Request correction of inaccurate personal information. Right to Opt Out of Sale/Sharing: BetterBuilder does not sell or share your personal information for cross-context behavioral advertising. However, you may signal your preference via GPC. Right to Limit Use of Sensitive Personal Information: Request that we limit the use of sensitive personal information to purposes necessary to provide the service. Right to Know About AI/Automated Decision-Making: Under the new CCPA ADMT regulations effective January 1, 2026, California residents have the right to know when Automated Decision-Making Technology is being used and to opt out in certain contexts. Non-Discrimination: We will not discriminate against you for exercising any of your privacy rights.
To exercise any of the above rights, please contact us at support@betterbuilder.app or through the Data & Privacy section in the App's Settings menu. We will respond within 30 days (or 45 days for complex requests). We may need to verify your identity before processing your request.
We take the security of your personal information seriously and implement industry-standard technical and organizational measures to protect it against unauthorized access, alteration, disclosure, or destruction. All data is encrypted in transit using TLS 1.2 or higher. All data is encrypted at rest using AES-256 encryption. Access to personal data is restricted to authorized personnel on a need-to-know basis. We use Row Level Security (RLS) policies in our database to ensure strict data isolation between users. Authentication is handled with industry-standard protocols including optional two-factor authentication. We conduct regular security reviews and monitor for vulnerabilities.
Despite our best efforts, no security system is impenetrable. In the event of a data breach that affects your rights and freedoms, we will notify you and the relevant authorities as required by applicable law (within 72 hours under GDPR, and as required under applicable US state laws).
BetterBuilder is operated from the United States. If you are accessing our service from outside the United States, your personal information may be transferred to, stored, and processed in the United States, where our servers are located. For users in the EU, EEA, or UK, we ensure that any transfer of personal data outside your region is protected by appropriate safeguards, including Standard Contractual Clauses (SCCs) approved by the European Commission, or equivalent mechanisms compliant with applicable law. Our AI provider (OpenAI) and infrastructure providers operate under data processing agreements that include appropriate transfer mechanisms.
BetterBuilder is not intended for children under the age of 16 (or under 13 in jurisdictions where 13 is the minimum age of digital consent). We do not knowingly collect personal information from children under these ages. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately at support@betterbuilder.app. We will delete that information promptly. For users between 13 and 18 years of age, parental or guardian consent may be required depending on your jurisdiction.
The App or Website may contain links to third-party websites, social media platforms, or services. This Privacy Policy applies only to BetterBuilder. We are not responsible for the privacy practices of any third-party site or service. We encourage you to review the privacy policies of any site you visit.
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will: Update the “Effective Date” at the top of this document. Notify you via email (for registered users) at least 30 days before changes take effect. Display a prominent notice in the App. Your continued use of BetterBuilder after the effective date of any changes constitutes your acceptance of the updated Policy. If you do not agree with the changes, you may delete your account prior to the effective date.
